Assigning Users to a Team/Learning Path Upon Invitation

A guide to assigning users to a Team or Learning Path at the time they’re invited

This feature allows Billing / Organization Admins to assign users to a Team and/or Learning Path at the moment they are invited, rather than waiting until after a user registers and logs in. It streamlines onboarding by ensuring new users see the right content and reporting structure upon activating their account, reducing follow-up Admin work and minimizing setup errors.


1. Assigning to a Team

  • Select Add User in your Organization Dashboard

  • Review the dropdown of existing teams within your Organization

  • Select the Team name to assign the user

  • Select Save Changes

Teams in GLSS are used for organizational purposes, such as grouping users by department, cohort, location, or role. Assigning users to teams helps you structure your organization more efficiently and manage members in aligned groups.


2. Assigning to a Learning Path

  • Select Add User in your Organization Dashboard

  • Review the dropdown of existing Learning Paths within your Organization

  • Select the Team name to assign the user

  • Select Save Changes

Once a user is assigned to a Learning Path, their dashboard (shown when they first log in) will show the Learning Path and course(s) they're assigned to. If they attempt to access a course outside of their assigned Learning Path (via the Courses tab), they'll be shown a modal stating that they don't have access.


3. As a Standard User

The user will receive an email invitation from help@glss.app to register and activate their GLSS account within the invited organization. Once the user completes the registration process, they’ll be immediately assigned to the Team or Learning Path.


3. FAQs

Q: Do I need the user to log in first before assigning them to a Team or Learning Path?

A: No. This feature allows Billing & Organization Admins to assign users to a Team or Learning Path at the time of invitation. They will see these assignments as soon as they activate their account and log in.

Q: Can I still change/remove users from a Team or Learning Path after they’ve registered?

A: Yes. You may update the users within a Team or Learning Path by visiting the Teams or Learning Paths tab in your Organization view.

Q: Can I invite a user without assigning them to a Team or Learning Path?

A: Yes. The user can still register their account through the invitation sent from help@glss.app. However, they will not appear in any Team or Learning Path based reporting until assigned.
